Privacy notice
Last updated on 14 October 2026
This privacy notice for DocMR (“we”, “us” or “our”) describes how and why we might collect, store, use and/or share (“process”) your information when you use our services (“Services”).
By accessing our Website or using our Services, you agree to the collection and use of information in accordance with this policy. Unless otherwise defined in this Privacy Notice, terms used here have the same meanings as in our Terms and Conditions.
1. What information do we collect?
Personal information you disclose to us
We collect personal information that you voluntarily provide to us when you register as a user, express an interest in obtaining information about us or our products and Services, when you participate in activities using the software, or otherwise when you contact us.
We may ask you to provide us with contact information to identify you, which includes but is not limited to: first and last name, email address, phone number and specialty.
All personal information that you provide to us must be true, complete and accurate, and you must notify us of any changes to such personal information.
Patient records you enter
The records you keep in DocMR — your patients’ details, visit notes, prescriptions, attachments, appointments and payments — are yours. We process them only to provide the Services to you: storing them, backing them up, showing them to the people you add to your workspace, and sending the reminders and messages you ask the software to send. We do not use them for any other purpose.
Information automatically collected
We automatically collect certain information when you visit, use or navigate the Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services, and other technical information. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes.
We only use necessary cookies, to keep you signed in and to remember your language and theme. We do not use advertising or tracking cookies.
2. How do we process your information?
We process your personal information for a variety of reasons, depending on how you interact with our Services, including:
- To create and secure your account
- To contact you and to provide you with answers to your questions
- To provide you with customer support
- To monitor the usage of the Services and to detect, prevent and address technical issues
- To send you the service emails your account needs (password resets, confirmations, invoices) and, if you opted in, news about DocMR, which you can opt out of at any time
3. When and with whom do we share your personal information?
We will not share or sell your personal information, or your patients’ information, to third parties, business partners or affiliates.
The only parties that ever touch your data are the service providers we need to run DocMR, and only to the extent needed:
- Hosting. DocMR runs on Microsoft Azure, in the UAE North region. Data is encrypted in transit and at rest and backed up automatically.
- Messaging. When you choose to send an email, SMS or WhatsApp reminder, the recipient’s address or number and the message are handed to the delivery provider for that channel, solely to deliver it.
- AI assistant. When you use the AI assistant, your question and the records it needs are sent to the model provider you selected (OpenAI, Anthropic or Google) solely to answer that request. The names of patients on your list are replaced by tokens before anything leaves DocMR, and their phone numbers, emails, addresses and birth dates are never sent. Other names, phone numbers, emails, identification numbers and birth dates in what you type or dictate are hidden by an automatic detector, which can miss an unusual or lowercase name; you can also select any text and hide it yourself. Photos you attach are sent as they are, so a name printed on a document in the photo reaches the provider. The lock line under each message shows exactly what was sent. You decide whether to use the assistant at all.
- Google Calendar and video visits. Only if you connect them: appointment times are pushed to your own Google calendar, and video rooms are created with our video provider. Neither receives a patient’s chart.
We may also disclose information if required to do so by law.
4. What are your privacy rights?
You can withdraw your consent at any time. You can do so by contacting us via email at info@docmr.net. You can modify or correct any data we have about you. You can also request that we delete your data. You can also opt out of emails that DocMR might send you. We are always available to hear any concerns you have and to clarify what data we have about you.
You can export every record in your account at any time from your Profile page, and you keep that right whatever plan you are on, including after you cancel.
5. How do we keep your data secure?
We strive to safeguard your data to the best of our abilities: encryption in transit and at rest, automatic backups, access limited to the people you add to your workspace, and an audit trail of every access to a patient record. While we implement various measures to protect your data, it is important to note that, like any other form of electronic storage, we cannot guarantee complete security.
6. Do we make updates to this notice?
We may update this privacy notice from time to time. The updated version will be indicated by an updated “Last updated” date and will be effective as soon as it is accessible. If we make material changes to this privacy notice, we may notify you either by prominently posting a notice of such changes or by directly sending you a notification. We encourage you to review this privacy notice frequently to be informed of how we are protecting your information.
7. How can you contact us about this notice?
If you have questions or comments about this notice, you may email us at info@docmr.net.
